Reporting requirements and data responsibilities

Understand the reporting requirements and data responsibilities that RTOs have under the VET Information Standard. These requirements define how you manage, report and correct data, meet regulatory obligations, and support the appropriate access and use of VET data across the sector.

Providing privacy notices to students

Your obligations

When you collect personal information from students, you must provide a privacy notice. This must be given at or before enrolment.

The privacy notice must include:

  • why information is collected
  • how it is used
  • how it is shared
  • how students can:
    • access their information
    • correct it
    • make complaints 

The privacy notice is available within the sample enrolment form on the VET Information Standard website.

You must also comply with the Privacy Act when handling personal information.

Nil activity reporting

You must notify NCVER if:

  • no new students were enrolled
  • no training was delivered during a reporting period.

The nil activity report must include the last activity date.

This ensures the system can distinguish between nil activity and missing data.

Exemptions from data reporting requirements

In some limited circumstances, you may not be required to report complete VET Information Standard data. This may apply where reporting would affect national security, or where you deliver certain types of emergency or community service training.

Even if an exemption applies, you will still need to provide aggregate information about your training activity at the end of each quarter.

Exemptions must be approved by the regulator and may include specific conditions.

Failing to report and data quality

You must ensure that data is accurate and complete.

If the data you provide is inaccurate or incomplete, it will be treated as not meeting your reporting obligations. You must correct any errors and resubmit the data.

If you do not meet your reporting obligations, you may breach your conditions of registration. This may result in regulatory action being taken.

Requests from the regulator

You may be required to provide additional information to the regulator at any time. This may relate to your operations, governance or compliance.

You must continue to meet other reporting requirements, including submitting annual quality indicator data.

Reporting on cessation of registration

If your organisation stops being registered as an RTO, you must provide all required data covering the period up to the end of your registration.

If any issues are identified with your data after it has been submitted, you must correct them within the required timeframes.

VET data access and disclosure

The data you provide is shared and used across the VET system. This supports research, policy development, system oversight and public transparency.

VET data is shared based on the principle of open access, unless restricted by law. Different types of data may be shared depending on privacy and legal considerations.
